How does Brex differ from Divvy?

Both Brex and BILL use AI to automate most of the AP and expense management tasks. But, here are the areas where they differ:

  • Vendor network: BILL connects its customers with five million vendors, a feature that Brex lacks. Instead, Brex allows users to onboard vendors by sending an email invite.
  • Cards in local currencies: Unlike BILL, which only supports reimbursements in USD, Brex supports local issuing and debiting of cards in 33 countries and reimbursement in 40 currencies.
  • Travel booking: Brex offers travel management tools that are not available with BILL.

Key features: Brex.

Here are the core capabilities of Brex.

AP automation.

AI-powered recommendations for GL coding and merchant mapping

Brex uses AI to automate general ledger coding, compliance, and journal entries. Users can leverage AI-generated suggestions to accurately map categories, and add accounting fields and rules. Brex AI captures data from invoices that can be emailed or uploaded on the portal, suggests the matching PO, and routes them for approvals.

The platform auto-syncs data, including GL account, department, and location with major ERPs while allowing users to download custom CSVs for their ERP systems. In terms of multi-entity support, Brex has features that allow users to set spend policies, tax regulations, and currencies for each subsidy.

Brex gives users the ability to issue virtual and physical cards with custom spend limits, manage approvals, and track spend across categories on a single platform. While there are four default spend request types (individual travel, group travel, procurement, and general), admins can add custom request types, define currencies for each type, and set the overall budget for each type of spend. Brex uses OCR and AI to capture receipts, auto-populate fields, add memos, and set GLs, departments, and projects. Brex Assistant answers employee’s questions and helps them with tasks to fast-track month-end closing.

While cards can be issued in 20 currencies, reimbursements can be made in 70 countries in local currencies.

Payments.

While users can connect their existing bank accounts to manage payments, they can also opt to open a Brex business bank account. The benefits of a Brex checking account include a cash management account, faster transfers, and the ability to make international payments in 40 currencies to 115 countries. Payments can be made via ACH, wires, checks, and virtual cards (recently launched).

Travel.

Brex’s unified T&E management platform includes features, such as adding receipts for trips automatically, creating custom travel spend policy, and making global reimbursements. Apart from a global inventory of hotels, flights, and car rentals, Brex partners with some airlines to offer deals and discounts. A mobile app makes it easy for admins to manage approvals, while employees can book group travel, make itinerary changes, and track their bookings and reimbursements.

Key features: Divvy.

Let’s take a closer look at Divvy’s features.

AP automation.

BILL’s AI captures details from invoices that are emailed to a BILL.com email address or uploaded via a mobile phone or computer. Apart from flagging duplicate invoices, BILL AI can split documents that contain multiple invoices, and create a bill directly from emailed invoices. By integrating with accounting software, users can sync invoices with POs. BILL allows users to set custom approval policies based on multiple criteria, such as location, vendor, department, line item amount, etc. Once approved, bills can be paid by choosing the relevant vendor from the BILL network, a database of over 5 million vendors, via their preferred payment method.

Expense management.

The Spend & Expense (formerly Divvy) module helps admins manage spend across cards, bills, reimbursements, and subscriptions and gives a quick snapshot of spending activity for different time frames. Pro-active controls, such as the ability to set budgets, define user roles, set spend limits, and create spend policies give admins control over spend before it happens. Employees can activate their BILL Divvy Corporate Card, create virtual cards, request additional funds, and view the budget and policy on the Spend & Expense mobile app. The platform’s AI extracts data from receipts uploaded through the mobile app, generates expense reports, categorizes transactions, and syncs them with the accounting software.

Admins can issue one physical corporate card, the BILL Divvy Corporate Card, per user. Employees can also generate unique virtual cards for each vendor from their Spend & Expense mobile app for online purchases and subscriptions. BILL also allows users to add their existing Discover, Visa, Mastercard, or American Express cards to manage spend. Instead of cash rewards on purchases, BILL Divvy Corporate Card users earn reward points that can be redeemed for gift cards, cash, or travel reimbursement.

Payments.

BILL allows users to make batch payments

BILL supports domestic payments in USD via ACH and international payments in 106 currencies across 130 countries. The software automatically checks if a vendor is within the BILL network, allows vendors to enter their preferred payment methods, and alerts them on the payment status. Admins can set custom approval workflows and make batch payments or use BILL’s Payments Services where a specialist handles large invoices.

BILL integrations.

BILL offers 2-way sync with four major accounting software while allowing data import and export with other ERPs and systems.

  • Lacks advanced multi-entity support: BILL users can’t make payments to international vendors from the corresponding subsidiary.

Which is better: Brex or Divvy?

The answer depends on your business’s needs, stage of growth, budget, and other considerations.

Brex is a suitable option if you’re interested in an integrated T&E management platform with AP automation and global payment support.

Choose Brex if you’re looking for a free plan that gives you access to corporate cards, limited AP automation, and expense management.

On the other hand, BILL has some features that Brex lacks, such as an extensive vendor network, faster bill payments, and accounts receivable tools.

Can these two systems be used together?

Using the two systems together isn’t a good idea, given that the two platforms share many AP automation and expense management features.

A smart way to maximize your return on investment (ROI) is to choose a platform that not only offers all the features that Brex and BILL have, but goes beyond to automate your procure, pay, close processes.

Why is Airbase a superior choice?

Users can add tags and split bills across categories

Users can add tags and split bills across categories

While Brex and BILL have their strengths, they also have weaknesses that can affect the overall experience, the efficiency of financial processes, and the ROI for their users.

First off, both platforms lack procurement and advanced AP automation features. In addition, Brex has immature reimbursement and bill pay capabilities, weak NetSuite integration, and does not eliminate manual processes entirely in the AP workflow.

BILL lacks multi-subsidiary support, such as the ability to link a local bank account to a subsidiary and pay international vendors in local currencies. Plus, BILL users can only redeem their points when their monthly spend is over 30% of the credit line.

These are the spaces that Airbase fills, making it the only true procure, pay, close solution that caters to the complex needs of mid-market and enterprise companies.

As the name suggests, Airbase’s Guided Procurement module, guides employees through the purchasing process, dynamically adapting the steps based on responses. The sophisticated AP Automation software allows admins to create granular workflows with a drag-and-drop workflow builder.

Airbase’s flexible Corporate Card program ensures businesses earn cash back with every transaction, with no conditions or prerequisites.

With its global payment capabilities, deep integration with 70+ ERPs, multi-entity support, a dedicated fraud detection team, and truly touchless expense management, Airbase gives a stellar 272% ROI!
